Guidelines for speakers

The information below is intended for you as a speaker at this event.

A portable computer running Microsoft Windows will be available in the meeting room. It is configured with applications typically relevant for an event like this, such as PowerPoint, PDF reader, video playing (e.g. VLC) and a web browser with unfiltered network outbound connectivity to the public Internet.

We strongly encourage you to prepare the support material for your talk to be made available in a portable data format (e.g. PDF strongly preferred to PowerPoint). The meeting room is equipped with a 4K video projector  aspect ratio 16:9. 

This support material will be publicly available online even after the event finishes. If you prefer your material not to be publicly available, please let the organisers know in advance: we will discuss with you to find a suitable alternative solution.

We intend to grant you access to your talk slot in the agenda so that you can autonomously upload the support material of your talk at your convenience. For this, we need you to have an individual account in IN2P3's Indico instance which we use to manage this event. If you don't have your account yet, please consider registering at:

Please upload your material before the starting of the session in which your talk is scheduled. This will allow the chairperson to verify your material and download it to the projection computer. Since the projection computer will also be setup for video streaming your material, we won't be able to seamlessly switch projection computers between talks.

We intend to video record your talk via Zoom for on demand replay. 

We intend this event to be as interactive as possible, so please allow enough time for questions and comments from the audience.
