Proceedings Instructions

Dear participants, please find below the instructions for the preparation of your proceedings! 

The deadline to send your contribution to your session coordinator is: 

January 13, 2024

Things you have to do:

  • Download the latex template (a zip file)
  • Change the name of the downloaded .zip file adding your surname
  • Go to www.overleaf.com and create an account if needed: in order to have access to some useful additional features (e.g. project sharing) please use your institutional email address to create your account
  • Choose "new project" (top-left green button), then choose "upload project" from the menu, and select the zip file you downloaded.
  • Replace "YourName" with your surname in the Master.tex file
  • Rename the folder session/YourName replacing "YourName" with your surname, and do the same for the two files YourName.pdf and YourName.tex inside it.
  • Write your proceedings editing the (renamed) file YourName.tex.
  • Go to the master document (Master.tex) and compile it with the "recompile" button to create the pdf of your proceedings.
  • Once your proceedings are ready (and proofread by your advisor), click on the button "share" to share the project with the coordinator of your session (you can of course share the project with your advisor, too). This will ease the interactions for the corrections.
  • Final step: share the project with antonio.uras@cern.ch and strebler@cppm.in2p3.fr 
     

Some important remarks: 

  • If you do not wish to include your photo in the proceedings, replace the line \rjcinclude{session}{YourName}{5}{5} in Master.tex with \rjcincludenophoto{session}{YourName}. 
  • If you choose to include your photo, you must provide it as a file named as your surname (the same as for the .tex file, but with appropriate .jpg, .png or .pdf extension)
  • Please have your proceeding proofread by your advisor before submitting it to your coordinator. 
  • Your contribution should be written in English and must be maximum 4 pages in length (the limit does not include the reference section). Whenever possible, the pdf format should be used for the figures.
  • The document should of course reflect what you presented at the JRJC. However, feel free to include any updated material (in particular, new versions of the plots) resulting from the progress of your work from the end of the JRJC to the submission of the proceedings.

The Book of Proceedings will be published on HAL (https://hal.archives-ouvertes.fr)
